AGM 2017 Details

Hi all,

 

This is notice that the East London Hockey Club AGM will take place at 1pm, Sunday 9th April at The Castle and is open to all members and parents of U18 players. Please do attend, as this is your change to have a say in the future of the club and who will be representing you on the committees.

 

At the AGM we will:

   A. Elect the 2017-18 committee officers

   B. Vote on updates to the constitution

   C. Discuss the 5-Year Operations Plan for the club

 

Full details on all three of these are available below, together with the agenda.

A. COMMITTEE ELECTIONS

 

We will be electing the members of the Executive, Operations, Playing and Youth Committees during the AGM. The available posts are:

B. CONSTITUTION UPDATES

 

To support the growth and development of the club, the Exec Committee proposes a number of updates to the constitution, which are outlined below.

 

1. Club legal structure defined as a Community Amateur Sports Club

> What it means = We currently have no legal structure, operating as a unincorporated entity. A CASC legal entity was specifically created by the government to meet the legal structure needs of sports clubs

> Why we're doing it = The CASC structure means that liability sits with the club for legal issues, removing what is currently a personal liability. It also means we'll have clear financial and tax policies which should benefit the club

 

2. Hockey Development Officer role created
> What it means = There will be a volunteer post holder responsible for developing and managing adult playing opportunities outside of Saturday League hockey
> Why we're doing it = With the success of activities such as Summer Social hockey, the Tower League and Hockey Hangout, an overall coordinator is needed

3. Tournament Director role created
> What it means = There will be a volunteer post holder responsible for planning and running the annual East London tournament
> Why we're doing it = With the success of the ELHC 25th anniversary tournament, leadership is required to turn this into a successful annual event

4. Coach Liaison Officer role created
> What it means = There will be a volunteer post holder responsible for the administrative activities associated with club coaching
> Why we're doing it = With the increasing number of coaches and the fact the Head Coach is a paid position, this means planning and support activities can be addressed by a volunteer from within the club

5. Masters Liaison Officer role created
> What it means = There will be a volunteer post holder responsible for coordinating the ELHC masters teams and engaging with regional Masters Hockey coordinators
> Why we're doing it = Following a successful trial period this year, we are now making this position permanent
 

6. Youth Head Coach role created
> What it means = There will be a volunteer post holder responsible for coordinating and developing the ELHC youth coach workforce
> Why we're doing it = With the continued growth of youth hockey at ELHC, more support is needed to ensure effective coaching provision and development

 

7. Deputy Welfare Officer & Flyerz Coordinator created

> What it means = There will be a volunteer post holders responsible for supporting the Welfare Officer and developing the ELHC disability hockey respectively
> Why we're doing it = With the continued growth of youth hockey at ELHC, more support is needed to ensure effective safeguarding and support for disabled participants


8. Removing Team Captain elections from the AGM
> What it means = Team captains will be decided by the individual teams before the AGM, with the support of the Club Captains and team voting in the case of multiple candidates, then announced at the AGM
> Why we're doing it = Given the scale of the club, it's fairer for individual teams to selection the captain they wish to have for the next season, especially with the increase in scale of the club

9. Other minor updates
> Renaming the Support Committee as the Operations Committee to reflect the breadth of the Committee's responsibilities
> Updating the quorum requirements of Committees to reflect realistic attendance levels
> Updating terms to reflect the scale of the club i.e. replacing absolute figures with percentages
> Removing communications restrictions in line with the new Communications Officer role

> Aligning discipline policy across Committee responsibilities

C. 5-YEAR OPERATIONS PLAN

 

With the increasing scale and complexity of the club, the Executive Committee feel that a longer term approach is needed beyond the annual cycle of elected post-holder activity. To support this, we have developed a 5-year Operations Plan to provide guidance on the supporting activities that will enable the club to continue to improve. The focus is based on the supporting operations of the club, with success on-the-pitch excluded from the scope.

 

Adoption of this document will assist the club with various activities, including:

> Improving financial planning and forecasting

> Capturing scaled, multi-year sponsorship opportunities

> Engaging more effectively with stakeholders across the hockey and local communities

> Effectively developing our umpires, coaches and volunteers

> Increasing the breadth and quality of our playing opportunities
